Client Offboarding Checklist in Notion: A Simple Setup

A project is not finished just because its status says “Complete.” The client still needs the final work, the right documentation, and clarity about what happens next. Your team may also need to check billing and remove access that is no longer required.

You can manage those steps in Notion without creating a five-database offboarding system. Start with a checklist attached to the project you already use.

Decide when offboarding begins

Choose a clear trigger in your process: final work is approved, a contract is ending, or the project is ready for handoff. Mark the project Ready for offboarding so it appears in a filtered view.

That status is a signal for a person to begin the checklist. It does not automatically create tasks, send deliverables, or change permissions. If you have not set up and tested an automation, assume those actions are manual.

Create one reusable checklist

Add a Client offboarding template to your Projects database, or keep a checklist page you duplicate for each project. Include only steps that apply to your work; assign an owner and due date where a task could otherwise be missed.

A practical starting checklist:

  1. Confirm the scope is complete. Check the agreed deliverables and record any remaining work or exclusions.

  2. Package the final assets. Make files easy to identify and open; confirm that the client can access the final versions.

  3. Write the handoff notes. Include relevant instructions, ownership, and where to request help after handoff.

  4. Review billing in your billing system. Check whether the final invoice has been sent and whether any payment or expense needs follow-up.

  5. Review access. List shared pages, software accounts, files, and permissions; transfer ownership or remove access as appropriate.

  6. Confirm the handoff. Send the client the final materials and record that they received them.

  7. Close the project record. Keep the agreed documents and project history accessible to your team, then remove the project from active views.

Not every project needs a testimonial request, exit interview, or elaborate client portal. Add those only when they serve the relationship and your process.

Keep offboarding visible

If your project already has a Tasks database, you can add the checklist as tasks linked to that project. Give each task a status and, when useful, an owner and due date. A linked view filtered to offboarding tasks not yet done can then appear on your team’s weekly page.

For a smaller operation, a checklist inside the project page may be enough. The important thing is that someone can see which handoff steps are still open without searching through old notes.

Make a clean client handoff

You can create a dedicated Notion page for the final handoff if that is convenient for the client. Keep it limited to the materials they should receive: links to final assets, essential instructions, ownership information, and the agreed next steps. A clearly organized folder or document outside Notion may work just as well.

Before sharing a Notion page, inspect its permissions and anything it links or embeds. Do not treat a filtered database view as a privacy boundary. Check the underlying database and page permissions, especially if the same source contains records for other clients.

Send the handoff link or files, then confirm the client can open what they need. Do not mark “Delivered” merely because the page exists.

Review access and billing separately

Notion can hold a record of what needs checking, but it is not the authority for every account or payment.

For access, review the actual services used during the project. Transfer ownership where needed, remove team or client access where appropriate, and record completion in the checklist. Avoid placing passwords or sensitive credentials in a broadly shared handoff page.

For billing, check the invoice and payment status in the tool where you issue and collect payments. Your Notion task can say “Confirm final invoice status,” but changing that task to Done does not settle a balance.

Close without losing the record

Once the client has the final materials and outstanding steps have owners, set the project to Completed or Archived. Filter completed projects out of your active dashboard rather than deleting the history you may need later.
